Storage guide

How much data is in each of your systems?

Find your system below for step-by-step instructions: how much it holds, the split by type, and how far back it goes. Rough numbers are fine. Nothing here asks for files or logins.

Stuck? Ask us. Filling in your intake form? Go back to it. New here? Start with five questions.

Fastest first

Start with the company-wide totals

If you use Google Workspace or Microsoft 365, one admin page shows email and files for the whole company. A server or shared drive in the office takes one right-click. Then add the systems that hold your work: field service, CRM, accounting, phone.

Chat and messaging

Google ChatHangouts Chat, Google Workspace Chat, Chat spaces

Google Chat shows no storage total. Message counts are the closest measure.

  1. Sign in at admin.google.com as an admin with the Reports administrator privilege.
  2. Go to Menu > Reporting > Apps Reports > Google Chat and note the Messages sent report, or click Download.
  3. For each person, go to Menu > Reporting > User Reports > Apps usage and read Chat messages or reactions, 28-day and Chat uploaded attachments, 28-day.
  • By type: The admin Storage page covers Gmail, Drive, and Photos only. Use the attachments column above for files.
  • How far back: In Vault, search one long-running space with Date sent set to your first year. Results mean history goes back that far.
  • No admin access? Ask your Google Workspace admin: "How many Google Chat messages do we send a month, and how far back does our Chat history go?"
